By default, AI Chatbot transcript notifications are sent from notifications@forms.elfsightmail.com.
Want to make them look more personal? With the Email Sender option, you can send notifications from your own email address — so your customers see a familiar sender that matches your brand instead of a default system email.
How to add your own email sender
Let’s take a look at how to set it up:
Open Email Notification settings
Head to the Email Notifications section on the Settings tab and click Add Sender:
Enter your sender details
Fill in the fields in the popup and then click Save and Test Connection:
-
Email Address — the email address you’d like your AI Chatbot notifications to be sent from.
-
SMTP Host and Port — these details are provided by your email provider.
For example:- SMTP Host: smtp.example.com
- Common ports: 25, 465, or 587
-
Encryption — we recommend choosing TLS.
-
Username — usually the same email address you entered above.
-
Password — most email providers require an app password for SMTP connections (not usual email account password) . We’ll explain how to generate one in the next step.
Create an app password
Most email providers require Two-Factor Authentication (2FA) to be enabled before you can generate an app password.
Here are instructions for some popular email services:
1. Gmail (Google)
Google requires 2-Step Verification to be enabled before you can generate an App Password for SMTP.
-
Open your Google Account.
-
Go to Security.
-
Under How you sign in to Google, enable 2-Step Verification if it is not already turned on.
-
Return to the Security page and open 2-Step Verification.
-
Scroll down and select App passwords.
-
Create a new app password and give it a name (for example, “AI Chatbot SMTP”).
-
Copy the generated 16-character password.
-
Paste this password into the SMTP password field (without spaces).
2. Outlook / Hotmail (Microsoft)
If Two-Step Verification is enabled for your Microsoft account, you’ll need to use an App Password.
-
Open the Microsoft Advanced Security Options page and sign in.
-
Find the App passwords section.
-
Click Create a new app password.
-
Copy the generated password.
-
Paste it into the SMTP password field.
-
Click Done.
Note: For some Microsoft 365 business accounts, App Passwords may be disabled by your organization’s administrator. In this case, OAuth 2.0 authentication may be required.
3. Yahoo Mail
Yahoo requires an App Password for third-party SMTP connections.
-
Open the Yahoo Account Security page.
-
Find Generate app password (or Manage app passwords).
-
Create a new app password.
-
Name it (for example, “AI Chatbot”).
-
Copy the generated password.
-
Use it as your SMTP password.
4. iCloud Mail (Apple)
Apple requires Two-Factor Authentication and an app-specific password for third-party email connections.
-
Sign in to your Apple ID Account page.
-
Open Sign-In and Security.
-
Select App-Specific Passwords.
-
Click Generate an app-specific password.
-
Add a label (for example, “AI Chatbot SMTP”).
-
Confirm your Apple ID password.
-
Copy the generated password and use it for your SMTP setup.
Copy it and use it in your SMTP settings.
Once everything is configured, your AI Chatbot transcript notifications will be sent from your own email address, giving your customers a more familiar and trustworthy experience ![]()
