Chatbot duplicates answers and shows odd messages

Hi everyone,

Has anyone experienced a situation where the chatbot duplicates the same reply at the end of a conversation, especially when the user says “thank you”?
In my case, after a “Thanks,” the chatbot sometimes repeats the previous answer or part of it unnecessarily.

  • Also, from time to time I see a message like:
    “It looks like you uploaded some files. How can I help you with them?”
    This doesn’t happen often, but it does pop up occasionally even though the user hasn’t uploaded anything.

    I’m curious if anyone else has run into similar issues and if you found a way to fix or avoid them.

We’ve switched your widget to the higher model GPT 5 mini and these issues shouldn’t occur anymore. Please test it out and let me know if everything is fine now :slightly_smiling_face:

Max, starting yesterday we’ve also noticed the unexpected “I see you’ve uploaded some files. How can I assist you with them?” response appearing in the Chatbot. It seems to confuse users.

Is there a recommended fix?

Max, the update to ‘GPT 5 mini’ looks good for now, but we’ve noticed that our original Instructions for hyperlink formatting were no longer followed in this version.

After some troubleshooting and adjustments, we revised the following section of our Instructions text with ChatGPT’s help, and the changes appear to restore the expected behavior:

FORMATTING LINKS

- All hyperlinks must be formatted in **Markdown style**: `[display text](URL)`
- Raw URLs (like `https://example.com/...`) must **never** appear in chatbot responses.
- Always provide a short, descriptive display text that matches the context.  
  - Example: `[Read more here](https://example.com/...)`
- If the input provides only a URL without display text, replace it with generic text such as `[More info](URL)` or `[View link](URL)`.
- Never alter or invent names in the display text. Use the exact phrase given in the source or prompt.
- Only one hyperlink per line unless multiple are explicitly required.
- Hyperlinks may be internal or external, but they must **always** be formatted as links — never output as visible text.

Max, for the past couple of weeks, since our Chatbot was switched to GPT-5 mini, we’ve been seeing some sporadic issues — things like replies addressing questions that weren’t asked, or “creative” new phrasing that doesn’t match well with our training documents.

We’ve been updating our Instructions text and training docs to overcome these issues, but it does give the impression that whenever the back-end is changed, users may face some extra work to keep getting the desired results.

Max, I’d prefer not to post our unedited chatbot support conversations online, but if you can provide an email address I’d be glad to forward a few transcripts directly.

That said, the transcripts may not be very useful, since each time an issue appeared we updated our Instructions and/or training documents and re-tested until the behavior was corrected.

Max, we’re trying to address the issue with this added Instructions text, but we’re baffled as to why it’s suddenly necessary:

DO NOT CONFLATE FAQ ENTRIES

When generating answers, never merge or blend information from different FAQ entries unless the documents explicitly direct you to.  Each FAQ entry applies only to the specific use case described.  
Respond only with the guidance from the single, most relevant FAQ entry. Do not fabricate generalizations or combine details from multiple cases.

If these latest fix attempts don’t work, is it possible to revert to the previous back end? If so, are there any potential downsides we should be aware of?

After switching to GPT-5 Mini, the model might behave differently, even when given the same instructions. This happens because the new version is trained on more up-to-date data and uses a different approach to data processing.

This is a result of the model’s increased proactiveness and generalizing behavior


As for using the info from different FAQs, this is a normal behavior. The model looks for the answer across all files at once by matching keywords. It tries to give the most helpful response, so when questions are unclear or similar, it may automatically combine information from different sources (like FAQs or documentation), assuming they’re related to the same issue.

The issue with the mark-up on gpt-5 mini is a known issue and to fix it we recommend using this prompt in the Instructions:

## CommonMark Markdown - mandatory

- Output must be **valid CommonMark** and render correctly in any Markdown viewer.
- Use rich Markdown naturally and fluently: headings, lists (hyphen bullets), blockquotes, codeblocks, *italics*, **bold**, line sections and links.
- Links must always remain intact and in proper Markdown format: `[link text](https://example.com)`.
- Never drop or modify provided links — always return them exactly as given.
- Ensure that code snippets are wrapped in fenced blocks with the correct language tag.
- Output must be delivered as raw Markdown source (no escaping, no JSON wrapping).

That said, customizing prompts to fit your needs is a crucial part of developing a chatbot. The default behavior of the model might not match what you’re aiming for, so you can always adjust or add instructions to guide it better.

So, we’d recommend you keeping the current language model, since it’s much smarter and provides better, more thoughtful responses. Moreover, we plan to move all clients to the version GPT 5 mini model in the near future :slightly_smiling_face:
